How to compress a PDF to 200 KB (or any size) for free

government forms, job portals and school sites love upload limits: "pdf, max 200 kb". a scanned page from a phone is often 2–5 mb, so it gets rejected. the fix is to compress the pdf down to the limit, and the fastest way is to tell a tool the size you need instead of guessing settings.

the quick way: target file size

  1. open compress pdf and drop your file on the box.
  2. leave the mode on target file size and pick 200 kb (or 100 kb, 1 mb, or type any size).
  3. press compress pdf. the tool tries settings from sharp to soft and keeps the best-looking version that fits under your limit.
  4. check the before and after size, open the result to make sure it is readable, and download it.

there are ready-made pages for the most common limits: compress pdf to 100 kb, to 200 kb, to 1 mb and for email.

what actually happens to your pdf

compression works by redrawing each page as an image at a lower resolution (dpi) and saving it with jpeg compression. that is why it shrinks scans and photo-heavy pdfs so well. it also means two things worth knowing:

  • text in the compressed file is no longer selectable or searchable, because the page is now a picture. keep your original if you need to copy text later.
  • fillable form fields and links are flattened into the image. fill in and sign the form first, then compress.

everything happens in your browser. the pdf is never uploaded, which matters for the kind of documents that usually have size limits: ids, pay slips, certificates and bank statements.

manual mode: choose quality

switch to choose quality if you want control. dpi sets how sharp the pages are: 150 dpi is crisp on screen and fine for printing, 100 dpi is fine for reading on screen, and below about 72 dpi small text starts to blur. jpeg quality sets how much detail is thrown away; 60–75 is usually invisible on documents.

it still will not get small enough

  • too many pages: a 40-page pdf at 200 kb leaves only 5 kb per page. use split pdf to send only the pages they asked for.
  • color scans: if color does not matter, convert to black and white first with grayscale pdf, which saves a lot.
  • photos of documents: crop away the table and background before making the pdf; empty space still costs bytes.
  • the portal accepts images: a single page saved as jpg with compress image can be smaller than the same page as a pdf.

checklist before you upload

  • open the compressed pdf and zoom in on the smallest text: can you read it?
  • check that every page is there and in the right order
  • confirm the size shown is under the limit (some sites count 1 mb as 1,000 kb, others as 1,024 kb; aim a little under)
